The work between the deals

A warm amber AI employee behind a real estate team at a sunlit closing table, quietly holding a thread of glowing promise-notes stretching back across past deals while the agents shake hands over a new one

Most agents who use AI point it at listing descriptions, and that is the part clients see. But ask a team lead what got harder as the team grew and it is never the listing. It is the work between the deals. In my latest video I walk through four jobs an AI employee can run behind the scenes, so a growing team stops letting things slip.

Wake up the leads who said not yet

On your own, you remember every lead. With six agents, it lives in six heads and six phones, and the ones who said maybe next year go cold while everyone chases the hot ones. The hard part of staying in touch isn’t sending something, it is having a reason to.

So each week the AI employee reads the notes on quiet leads and looks for a real reason to reach out: a timeline coming up, or a new listing that matches what they asked for. In the video I follow the Lees, selling a condo and buying a house at once, and it finds two reasons, the school year ending in June and a three-bedroom in the neighborhood they wanted. A check-in asks them for something. A reason gives them something. Give it one standing rule, describe the home and not who should live there, because fair housing applies to what AI writes for you the same as what you write yourself.

Turn scattered feedback into a conversation

Eight showings in two weeks and the sellers hear nothing, so they feel ignored even while their agent is working hard. Feedback trickles back one comment at a time across the showing app, texts, and email. So every Friday the AI employee gathers it into one update: how many showings, what buyers said, and what keeps coming up.

Five buyers mention the small second bedroom. Two say the figure feels high. One comment is an opinion. Five is a pattern, and the pattern is how the conversation about the asking figure starts, with evidence instead of a feeling. The weekly facts can go out after a quick look. Whether to hold or adjust stays the agent’s call.

A horizontal deal timeline where LISTING (WHAT CLIENTS SEE) sits at the start and four amber job-markers handle the work between the deals: WAKE THE QUIET LEADS, WEEKLY FEEDBACK UPDATE, EVERY CONTINGENCY DATE, STAY USEFUL AFTER CLOSING, with a footer band ROUTINE RUNS ON ITS OWN and WHAT IT'S WORTH GOES TO A PERSON

Never miss a deadline, stay useful after closing

Once a contract is signed the clock starts, and a missed contingency date can cost your client their protection and sometimes their deposit. The AI employee reads the signed contract, pulls every date onto the team calendar, and sends a reminder to the agent, lender, and client a few days before each one, carrying one line every time: before you wire a cent, call the title company at a number you already have, never one from an email. A person checks the dates against the contract the day it is signed, and again when an addendum moves one. After that the reminders run on their own.

After closing, most agents go quiet, which is a shame, because about two in three sellers use an agent they were referred to or worked with before. So the AI employee keeps notes during the deal and resurfaces them later: a homestead filing reminder, a one-year note on what nearby homes sold for, the name of a contractor when they mention the kitchen again. Anything about what a home is worth goes past the agent first. Nobody refers the agent with the nicest fridge magnet. They refer the one who remembered. This is the same leak I covered in the follow-up that waited until Monday, and it runs on the same speed that wins in five minutes or it’s cold.
